DocketBEO for QuickBooks Online

When a client pays for a private event online, the Customer, the Invoice and the Payment show up in your QuickBooks Online company on their own. Closed dining sales post the next morning as one receipt. Nothing gets re-typed at month end.

What syncs

A Customer, an Invoice and a Payment. Then one receipt a day.

Event payments

When a client pays a deposit, an installment or the balance through their event portal, DocketBEO creates the matching Customer in your QuickBooks Online company (matched by email if they're already there), an Invoice for the event's total, and a Payment for the amount they just paid. Each later installment adds another Payment against the same Invoice. Payments you record by hand (cash, a check, a bank transfer) sync the same way.

Daily dining sales

With Docket LIVE on, each morning the previous day's closed-table sales post to QuickBooks Online as one Sales Receipt, before tax and tips. One line a day, the way a bookkeeper reconciles against a deposit.

One revenue item

Every invoice and receipt books against a single service item named “Private Event Revenue”, created once in your first income account. It's one invoice per event, not line by line: menu items, add-ons and adjustments are not mirrored into QuickBooks Online.

What doesn't sync

Events without a client email, and anything from QuickBooks Online back into DocketBEO. The sync only ever creates records. It never edits or deletes what's already in your books.

How to connect

Four steps, about a minute.

  1. 1.

    In DocketBEO, open Settings, then Billing & Payments. An owner or manager can do this.

  2. 2.

    Press Connect to QuickBooks.

  3. 3.

    Sign in to Intuit and choose the company to connect.

  4. 4.

    You're back in Settings with “Connected — syncing to QuickBooks.” Payments sync as they happen; sales post each morning.

To disconnect

Settings, Billing & Payments, then Disconnect from QuickBooks. DocketBEO stops syncing and gives up its access to your company. Nothing already in QuickBooks Online is changed or removed. You can also remove DocketBEO from your company's connected apps on the QuickBooks Online side. Either way, you can reconnect any time.

If the connection expires

A QuickBooks Online connection lapses after about 100 days without a sync, or if access is revoked from the QuickBooks side. When that happens DocketBEO emails the venue owner, shows a reconnect notice in Settings, and pauses syncing until you press Connect to QuickBooks again. Payments taken and days closed while disconnected are not synced after the fact.

QuickBooks Online sync comes with every DocketBEO plan, alongside reservations, the floor, checkout, the kitchen and private events, with unlimited team members. What changes is how many locations you run. Prices are in US dollars, per month.
